Every paid order lands in QuickBooks once, to the cent, core charges and option parts included

Missed orders. Orders posted twice. A sync that dies when the back-office PC reboots. Sales tax that never matches. Parts retailers have put up with QuickBooks connectors built for stores that sell T-shirts. The Web Shop Manager QuickBooks app is built for parts: every option choice posts as its real part number, core charges post as their own line, unpaid orders never reach your books, and every order is checked against what you actually charged. QuickBooks Online is launching now on WSM 6.0, and QuickBooks Desktop and Enterprise connect through Intuit’s Web Connector.

Designed from ten years of accounting support tickets from automotive parts retailers. Included with Web Shop Manager.

Where parts stores lose money in the books

The six ways a QuickBooks sync costs you, and how we close each one

These come straight from a decade of parts retailers telling us what broke. Each one costs real hours at month end, and some cost real money every day.

Orders that go missing, or post twice

The painSync tools pull orders by date range, so an order edited after it was pulled is never sent again, and a retry after a timeout creates a second copy. Your accountant finds both at month end.

The fixPosting is driven by the order itself: the moment an order is paid, it queues once. Every write carries a unique key, so a retry can never create a second entry, and a daily check lists any paid order without exactly one QuickBooks document.

The connection on a PC that keeps breaking

The painA Windows box in the back office runs the sync. A QuickBooks update, a domain or certificate change, or a reboot stops it, and nobody knows for days.

The fixQuickBooks Online connects with Intuit’s own sign-in, and the connection lives on our servers, so nothing on your desk can break it. If anything does stop, your dashboard shows it and you get an alert, with orders safely parked until it is fixed.

Sales tax that never matches

The painYour website charged one amount, QuickBooks recalculates another, and your sales tax liability report stops agreeing with what customers actually paid.

The fixYou pick the rule per store: copy the exact tax your website charged into QuickBooks, or let QuickBooks calculate it. Either way, any order where the numbers disagree by more than rounding is held with both amounts shown, not posted wrong.

Options, kits and core charges

The painA shopper picks “add mounting hardware” and QuickBooks sees one line with no part number. Core charges vanish into the product price. Inventory drifts every time.

The fixEach option choice maps to a real QuickBooks item: it can replace the base part, add a part, or be ignored. Kits post as the parent plus every chosen part. Core charges post as their own line, so a core return is easy to account for.

Unpaid and fraud-held orders in your books

The painDraft, failed and declined orders get pulled in with the good ones, and sometimes get shipped because they showed up as sales.

The fixOnly fully paid orders are eligible. Drafts, failed payments and fraud-held orders never produce a QuickBooks document, and the daily report counts them separately so you can see they were skipped on purpose.

Nobody to call when it breaks

The painYour store vendor blames the sync vendor, the sync vendor blames your store, and you wait days for an answer while orders pile up.

The fixOne company, one support team. The QuickBooks app is ours: our code, our logs, our support queue. Every failed post shows a plain-language reason and the exact message from QuickBooks, and our team sees the same health screen you do.

Which QuickBooks do I have?

Intuit sells three different products under the QuickBooks name. Web Shop Manager works with all three, and the way it connects depends on which one your bookkeeper opens every morning.

QuickBooks Online

Launching now on WSM 6.0

How to tell
You sign in through a web browser at qbo.intuit.com or the QuickBooks phone app, and you pay Intuit a monthly subscription.
How it connects
Click Connect in your Web Shop Manager dashboard and sign in with your Intuit account. Nothing to install.
How fast
Each order posts the moment it is paid.

QuickBooks Desktop

Pro and Premier, Windows

How to tell
QuickBooks is a program installed on a Windows computer and your books are a company file ending in .QBW. Press F2 inside QuickBooks to see the exact edition and year.
How it connects
Intuit’s free Web Connector runs next to QuickBooks and collects your new orders from Web Shop Manager. Versions from 2014 onward are supported.
How fast
On the Web Connector’s schedule, every 30 minutes by default. Orders wait safely on our side until it checks in.

QuickBooks Enterprise

Enterprise Solutions, Windows

How to tell
It looks like Desktop, but the title bar and the F2 product screen say “Enterprise Solutions”. Larger teams and advanced inventory usually mean Enterprise.
How it connects
The same Web Connector as Desktop, with the same item, option and payment mapping.
How fast
On the Web Connector’s schedule, every 30 minutes by default.

Thinking about moving from Desktop or Enterprise to QuickBooks Online? It is the same Web Shop Manager app either way, so the item, option and payment mappings you set up come with you. You switch the connection, not the setup.

What actually lands in QuickBooks

One real parts order, posted line by line

Here is a typical order: a remanufactured caliper with a core charge, an added bracket chosen as an option, a coupon, and ground shipping. This is the Sales Receipt Web Shop Manager writes for it.

Sales Receipt for web order 10482Deposit to: Card processor clearing
Remanufactured front brake caliperItem CAL-4471, matched by SKU$64.99
Mounting bracketItem BRK-118, added by the option “Include bracket”$12.50
Core charge, refundableIts own core item, taxed like the caliper it belongs to$35.00
Coupon SPRING10Its own discount line, not buried in the price-$10.00
Shipping, UPS GroundCarrier and service in the description$12.95
Sales tax, 7%Copied exactly from what your website charged$7.17
Total$122.61
Charged on your website: $122.61. Posted to QuickBooks: $122.61. Tied out.

Illustrative order. Item numbers, tax rate and account names come from your own QuickBooks lists. If the lines do not add up to what the customer paid, the order is held with both numbers shown instead of being posted.

  1. “Online” in the Web Shop Manager column means the row applies to QuickBooks Online. QuickBooks Desktop and Enterprise post through Intuit’s Web Connector on its schedule, with the same item, option, core charge and tax handling.
  2. Category columns summarize public app listings, help centers and reviews for QuickBooks connectors on the major generic store platforms, read October 2026. Individual products vary; a half mark means at least one well-known product in the category does it.
  3. Processor fees post where the processor reports them in its payout data. Some gateways do not, and those payouts post at their gross amount.

FAQ

QuickBooks and Web Shop Manager: common questions

Which versions of QuickBooks does Web Shop Manager work with?

QuickBooks Online, QuickBooks Desktop Pro and Premier, and QuickBooks Enterprise. QuickBooks Online is launching now on WSM 6.0 and connects directly with Intuit’s sign-in. Desktop and Enterprise for Windows, version 2014 or later, connect through Intuit’s free Web Connector.

How do I know which QuickBooks I have?

If you sign in through a web browser at qbo.intuit.com, you have QuickBooks Online. If QuickBooks is a program on a Windows computer and your books are a file ending in .QBW, you have Desktop. Press F2 inside Desktop to see the product screen; if it says Enterprise Solutions, you have Enterprise.

Do I need to leave a computer running?

Not with QuickBooks Online. The connection runs on our servers, and each order posts the moment it is paid. With Desktop or Enterprise, the computer that holds your company file runs Intuit’s Web Connector, which collects new orders every 30 minutes by default. If that computer is off, orders wait safely on our side and post when it comes back.

Can an order go missing or post twice?

No. Each paid order queues once, every write to QuickBooks carries a unique key so a retry cannot create a duplicate, and a daily check lists any paid order that does not have exactly one QuickBooks document. An order that cannot post is held with a plain-language reason instead of being skipped.

How is sales tax handled?

You choose per store. Copy mode posts the exact tax your website charged, so QuickBooks matches what customers paid to the cent. QuickBooks mode lets QuickBooks calculate the tax. In either mode, an order where the amounts disagree by more than rounding is held with both numbers shown, never posted wrong.

How are options, kits and core charges handled?

Each option choice maps to a real QuickBooks item and can replace the base part, add a part, or be ignored, so the part numbers in QuickBooks match what actually shipped. Kits post as the parent plus each chosen part. Core charges post as their own line on your core charge item, taxed the same way as the part they belong to.

Do refunds and cancellations post to QuickBooks?

With QuickBooks Online, yes. A refund posts as its own refund document dated the day it happened, with the product, shipping, tax and core charge split out, and the original sale is never edited. A cancellation before the order posted produces nothing at all. With Desktop and Enterprise, the sale posts automatically and refunds are recorded in QuickBooks the way your team does today.

How do payouts and processor fees reconcile?

With QuickBooks Online, each sale deposits into a clearing account for your card processor. When the processor pays you out, the payout posts as one deposit from that clearing account to your bank, with the processor fee as its own expense line wherever the processor reports it. The clearing balance always equals money still in transit, so bank reconciliation is a match, not a hunt.

Can QuickBooks update prices and stock on my website?

Yes, if you turn it on. Price sync and stock sync are separate switches, and for each one you choose whether QuickBooks or your website is the source. Both are off until you decide, and you see a count of the items that would change before the first sync runs.

What if a post fails, or something posts that should not have?

Failed posts are held, never dropped, with the reason in plain language and the exact message from QuickBooks. You fix the mapping right on the held order and it posts. Temporary problems like a QuickBooks outage retry on their own. You can pause posting at any time, and a bad run can be retracted from QuickBooks Online.

Can I move from QuickBooks Desktop to QuickBooks Online later?

Yes. It is the same Web Shop Manager app for every edition, so the item, option and payment mappings you built for Desktop or Enterprise carry over. Intuit converts the company file; you reconnect to QuickBooks Online in your dashboard, and orders already posted stay posted.

What does the QuickBooks integration cost?

It is included with Web Shop Manager. There is no per-order fee, no per-seat fee and no separate sync subscription. You keep paying Intuit for your QuickBooks plan as you do today.

Is my customer and payment data safe?

Yes. QuickBooks Online connects through Intuit’s own secure sign-in, and the connection is stored encrypted on our servers. Card numbers never leave your payment processor, so they never reach QuickBooks or the integration. You can disconnect from your dashboard or from QuickBooks at any time.
