eCommerce Shopping Cart Real-Time Syncing with QuickBooks
In order to achieve auto-synchronization with QuickBooks, WSM™ developed an application to use the QBWC provided by Intuit. The QBWC enables an exchange of data from your WSM™ shopping cart to QuickBooks products. This connection allows all web order information including customer information, sales, tax, and shipping amounts to create an invoice or sales order based on your preference.

QuickBooks seamless integration in 10 easy steps:
- Log into WSM™
- Highlight Data
- Click QuickBooks if you have not done so already, install the QuickBooks Web Connector Download, http://marketplace.intuit.com/webconnector/.
- Click the Add Connection button
- Specify the following option for the connection
- Order Type - WSM™ can export orders to QuickBooks as either Invoices or Sale Orders. This depends more on your individual company profile setup in QuickBooks
- Customer Type - This determines the method utilized by QuickBooks to create customers that are attached to the exported orders.
Name: Export customers using their company name or first and last name. Customers will then be grouped by their given names regardless if the order was placed by a registered customer or a guest.
Customer & Order Id: Export registered customers as "Customer #####" and guest customers as "Guest #####". Guest checkout customers will always create a new QuickBooks entry, but registered checkout customers will be grouped under their customer id.
Order Id: Export both registered customers and guest customers using only the order id. Nothing will be grouped on customer entries in QuickBooks, a new customer entry will be made for every order.
- New Orders - WSM™ will export all orders to your QuickBooks except new orders by default. This allows store owners to make changes to orders before they are exported to QuickBooks, or void invalid orders before they are sent to QuickBooks. Additionally, you may send new orders to QuickBooks, but further changes to those orders in WSM™ will not be synced to QuickBooks if previously exported.
- Group Customers- Depending on the setting, WSM™ will include or omit exported orders for customers in any customer group.
- Sales Rep - When exporting orders to QuickBooks, WSM™ can attribute a designated sales representative to the order. This is useful to track in QuickBooks where an order is placed, such as, a web-order vs. phone-order. To define a sales representative, you must add the name to your QuickBooks "Sales Rep List", and then add the "Initials" here.
- Update Interval - The QuickBooks Web Connector will check WSM™ for order updates automatically based on the time selected.
- Notifications - When the QuickBooks Web Connector performs an update, you can choose whether or not a small popup window will appear on your task bar to notify you of the update.
- Click the Continue button
- Completion Screen - After completion, you will be prompted to download a file to use for installing the Web Shop Manager™ service for the QuickBooks Web 9. Connector. If prompted for a username and password to connect, please use the same information for logging into WSM™ Admin.
- To complete your setup, click the Finish button
- Click the Download icon to the left of your new profile
- Save your file to your computer and import into QuickBooks
